How can my small business use AI?

Last reviewed October 31, 2026 · Ethan, Pinelever

Quick answer: Most small businesses get the most from AI on the repeat writing and sorting work: answering routine emails, following up on missed calls and quotes, turning notes into reports or invoices, and replying to reviews. Start with one task that happens every day and is easy to check, use an AI tool you already pay for (like Microsoft 365 Copilot or Google Gemini) on a business account, and have a person review anything that goes to a customer.

You don't need a strategy deck or a new platform to start. You need one annoying task, a business account and a habit of checking the output.

Seven practical uses, roughly easiest first

1. Drafting routine emails. Paste the question, ask for a reply in your tone, edit and send.

2. Summarizing long things. Contracts, meeting notes, long email threads: get the short version and the to-dos.

3. Following up. Quotes with no reply, missed calls, overdue invoices: get a polite follow-up drafted on a schedule.

4. Reviews and social posts. Drafted review replies and a week of posts from a few notes and photos.

5. Turning notes into documents. Voice memos or job notes become reports, proposals or invoice lines.

6. Sorting your inbox. New messages tagged by type so the urgent ones surface first.

7. Training your team. Short how-to guides and checklists written from the way you already do things.

Three rules that keep it safe

When to get help

Doing it yourself works fine for drafting and summaries. Help is worth it when you want AI connected to your email, phone or software, when your team needs hands-on training on their own work, or when you'd rather someone else figure it out. If you hire someone, ask the questions in how to choose an AI consultant.

Common questions

What is the easiest way for a small business to start using AI? Pick one daily task, like answering routine emails, and use an AI tool you already pay for on a business account. Check every result for the first few weeks.

What AI tools should a small business use? Usually the one built into what you already have: Microsoft 365 Copilot, Google Gemini in Workspace, or ChatGPT or Claude on a business plan. The tool matters less than picking the right task.

Is it safe to put customer information into AI? Only on business accounts with the right data settings. Don't paste customer, employee or financial details into free personal accounts.

Can someone set up AI for my small business? Yes. In the Triangle, I do it in person: Raleigh, Durham, Cary, Chapel Hill, Apex, Morrisville and Wake Forest.

Will AI replace my staff? For most small businesses, no. It takes the repeat typing and sorting off their plate so they can spend more time with customers.
